Exact Online integration for direct debits

Collecting payments without a sales invoice throws your bookkeeping off. With RCUR's Exact Online integration every direct debit has an invoice in Exact. This page explains what the integration does and what you can set up.

If you collect payments from many customers each month, you'll see that the collecting runs by itself and the administration doesn't. Every direct debit belongs in your books with a sales invoice. By hand that's a recurring chore where mistakes creep in.

What the integration does

RCUR connects to Exact Online and takes over the administrative work around a direct debit:

  • Accounts: your customer shows up as an account in Exact Online, including a contact person so the invoice can be emailed.
  • Invoices: for a collection RCUR creates the sales invoice in Exact Online. It can also be emailed to your customer automatically, if you turn that on.
  • Payments: as soon as the payment comes in, it's booked as a bank entry against the invoice, so you can reconcile the item.
  • Refunds: on a refund a credit note can be created.

The invoice is created in Exact Online, where the rest of your administration already lives. RCUR itself isn't an accounting package.

What you can set up

Exact Online has many configuration options. In RCUR you decide, among other things:

  • the administration (division) the entries are booked in;
  • the ledger account, as a default and per product, and the VAT code;
  • whether an invoice line is linked to an item in Exact;
  • the journal and the payment condition;
  • which document layout and email layout are used when sending;
  • whether the description is added as a reference on the invoice.

Who it's useful for

The integration pays off once you collect regularly: subscriptions with fixed amounts, many customers per month, or an accountancy firm that wants the figures to match the bank. If you only collect a few times a year, invoicing by hand is often quicker.

Other accounting packages

If you don't use Exact Online, there are integrations with Moneybird, WeFact, e-Boekhouden, HostFact and Teamleader. For everything else there's a public API and Zapier.

What you need

The invoicing integrations are part of the Professional plan (€35 a month). It also includes the customer portal, discount codes, custom fields, Zapier and API access. RCUR charges no per-transaction fees and no percentage of your revenue.

For the collection itself you use your own Mollie account; how that works is covered under automatic direct debit through Mollie. What to weigh when choosing a solution is under direct debit software.

You can try it free for 7 days, no credit card needed.

Frequently asked questions

What does RCUR's Exact Online integration do?

RCUR adds your customer as an account in Exact Online, creates the sales invoice and can have it sent by email. Once the payment comes in, it's booked as a bank entry against the invoice.

Which plan includes the Exact Online integration?

The invoicing integrations are part of the Professional plan (€35 a month), along with Moneybird, WeFact, e-Boekhouden, HostFact and Teamleader.

Does RCUR create the invoices itself?

The invoice is created in Exact Online, not in RCUR. RCUR isn't an accounting package: it passes the data on, so your administration stays in one place.

Can I set the ledger account and VAT code used?

Yes. You can set a default ledger account and pick a different one per product, plus the VAT code and optionally the Exact item. You also set the journal and the payment condition.

What happens on a refund?

On a refund a credit note can be created in Exact Online, so your bookkeeping stays correct.
